FAQs
A: Arkhiver works exclusively with the classic (desktop) version of Microsoft Outlook on Windows. It does not support the new Outlook app, Outlook on the web, or Outlook on Mac. If you are not sure which version you have, look for "classic Outlook" in your application title bar. If you need to install the classic version, Arkhiver's Settings page includes a direct link to Microsoft's installation instructions.
A: Simply make sure Outlook is open and running before you launch Arkhiver. Arkhiver detects your active Outlook session automatically. You can check the connection status at any time by going to the Settings page, where it will show either "Connected and running" (in green) or "Disconnected or not running" (in red). If disconnected, open Outlook and click the refresh button on the Settings page.
A: Arkhiver supports eleven file types: .doc, .docx, .eml, .msg, .pdf, .ppt, .pptx, .xls, .xlsx, .zip, and .7z. On the Download Emails page, you can enable or disable any combination of these. Only the types you have enabled will be extracted from emails.
A: Yes. On the Download Emails page, select "Specific date/time" and choose the date and time from which you want Arkhiver to begin processing. Arkhiver will scan all unread emails from that point forward. Keep in mind that Outlook's own sync settings may limit how far back your emails are locally available — you can adjust this in Outlook under File → Account Settings.
A: The output folder is the root directory where all downloaded attachments are saved. Arkhiver creates a subfolder inside it for each email it processes. All attachments from that email are saved inside that subfolder. This keeps every download neatly grouped by its source email.
A: Filing rules let you automatically move downloaded files into specific destination folders based on keywords. Each rule has two parts: a keywords field and an output folder field. If any of the keywords you enter appear in the email subject, the files from that email are moved to the folder you specified. You can enter multiple keywords in a single rule by separating them with commas — if any one of them matches, the rule applies.
A: Regular keywords (e.g., invoice) are matched against the email subject line. Bracketed keywords (e.g., [invoice]) are matched against the attachment filename itself. Use bracketed keywords when you want to filter downloads based on what the file is named, rather than what the email is about. You can mix both types within the same rule.
A: Automatic mode tells Arkhiver to re-run your keyword filing rules every minute without any input from you. This is useful if new attachments are arriving continuously and you want them sorted in real time. To enable it, click the dropdown arrow next to the Process Files button and select "Automatically." To stop, click the dropdown and select "Now."
A: Pre-filled templates are saved sets of keyword-to-folder rules that you can apply to your filing list in a single click. They are most useful when you handle recurring workflows — for example, a specific client, project type, or document category that always requires the same set of rules. Create a template once, give it a name, and reuse it whenever you need it. Templates can be edited or deleted at any time.
A: This may be because the name of the file path where you are trying to save the downloaded files is too long. Windows by default has a 260-character file path limit. Try to save downloaded files in a folder with a shorter file path (e.g. on your Desktop) or shorten the length of the subject of the email received, or the name of the file itself.
A: In the Processing History section of the Download Emails page, click "Blocked emails" to open the blocked senders manager. Add the sender's email address or display name, then click Save. Going forward, any emails from that sender will be skipped — they will appear in the Blocked emails log so you always have a record of what was excluded.
A: Arkhiver processes the inbox of whichever Outlook account is active in your currently open Outlook window. To process a different account, switch to that account's inbox in Outlook and reconnect Arkhiver via the Settings page.
